Looking under the hood
Technical overview

Our off-the-shelf product is delivered as a Software as a Service (SaaS) solution, usable on all modern web browsers. Using our software requires no hardware investments or software installation on your part.
Our server architecture has been carefully designed to maximize security, with a two-tier architecture that separates the database server from the application server. Our servers are hosted on Amazon Web Services (AWS) in the Ireland region (eu-west-1). Communication between servers occurs through a logically isolated network within Amazon Virtual Private Cloud (VPC). Our artificial intelligence solutions are currently provided by Microsoft Azure.

Inclus can also be deployed as an on-premises solution, with server administration handled by the customer. With this setup, the customer is responsible for maintaining the hardware, operating system, database, and standard software, as well as server backups. We provide the necessary Inclus software as a container image. Servers can be set on top of the customer’s preferred orchestration platform, such as OpenShift or Kubernetes.
An on-premises solution can be set up completely isolated from the internet, as it does not require external connectivity, thus allowing you to run a participatory risk management process even in high-security environments.

Physical Security and Access
All servers containing confidential information are housed in secure facilities with strict access controls, currently maintained by Amazon Web Services and Microsoft. Our offices, located in Otaniemi, Espoo, Finland, also feature high-grade physical access controls. Office access requires personal RFID tags and electronic keys, which are refreshed monthly and can be deactivated remotely.
Encryption
All data is encrypted in-transit and at-rest. We take care to use only modern encryption and security standards and ensure that all passwords follow good security standards and are only stored in hashed and salted format in our databases.
Logging
For our SaaS servers, access to sensitive information is logged, capturing metadata about the accessed objects and the user but excluding customer’s own content. These logs are retained for at least three years.
Personal data
Inclus is fully GDPR compliant. All data is handled within the European Union, and we minimise the amount of personally identifiable information recorded within the application. We also provide you with tools to anonymize your collected data to retain it long-term without peronal data included.

Inclus API
Inclus provides APIs for fetching your data in JSON and CSV formats. API access can be requested through your customer representative. The API is continually developed based on customer needs. Our APIs allow you to get a full copy of all your Inclus data whenever you need.

Our product integrates with Microsoft Entra, allowing users to log in with their organization credentials. Domain-wide enforcement of Microsoft Entra login is available as an additional service upon request.

Our AI capabilities are powered by the Microsoft Azure OpenAI API, using state-of-the-art natural language models. We take care to protect your data, and data is only sent to external providers when you have explicitly activated AI for your project. We only use AI providers and models that do not use the data for improving or training their models. User’s personal data is never included in AI requests, ensuring compliance with GDPR.

Complex organization dashboards
Inclus supports setting up complex dashboards that can combine any number of your Inclus projects to one view, merging the data with customized merging rules. With a dashboard-based setup, you can let your organizational units have ownership of their own risk management processes, while still creating one big picture of your organization’s risk management situation.
Criterion formulas and indicators
Criterion formulas allow programming custom formulas for your risk management process, allowing you to calculate complex risk scoring and performance metrics automatically. Indicator formulas allow calculating overall metrics over your entire risk management project, such as total risk scores or total project vulnerability after risk mitigation actions have been accounted for.
